How do I get started?
Council Chairman Form - This form just states that "Yes" our council will be participating this year.
2017 Manual - This comprehensive manual will help get you through the program, start to finish.
Columbus Charities 501 c 3 - You will need a copy of this letter with you at each fundraising location.
Insurance Certificate - You will need a copy of this certificate with you at each fundraising location.
How do I get supplies?
Apron Order Form - You will want to order enough aprons for your volunteers to wear at each of your fundraising locations.
Banner Order Form - You can choose to order a banner to better display whom you're council is raising money for and why.
Tootsie Roll Order Form - You will need to order enough candy for each of your fundraising locations.
How do I get organized?
Group Sign-up Form - This form is great to organize all of your volunteers who have eleted to be a "Supervisor".
Volunteer Sign-up Form - Here is a template that you can use to collect volunteers' information, dates, and times of availability.
Volunteer List - Here is a template that you can use to organize all of your volunteers' information such as address and phone number.
What do I need to do after the weekend is over?
Request for Distribution - You will need to fill out this form and authorize where your raised funds will go and to which charities.
Council Drive Report Form - This form is very important! At the end of the weekend, fill out this form, attach any invoices or receipts and mail your final numbers to the Tootsie Roll Chairman.

Since this is under Columbus Charities, I would like to present a new program that will help fund our Endowment Program.

While meeting with Fred Meyer’s Community Relations representative, she asked if our 501 (c) (3) organization was enrolled with the Community Rewards Program. I had not heard of this program.

Fred Meyer donates approximately $2.5 million dollars to non-profit organizations each year through the Community Rewards Program. The only requirement is that you link you rewards card to Columbus Charities, then each month a check will be issued to Columbus Charities. It’s that simple.

I was shocked to find out that your current rewards program stays the same. You still earn reward points, discount on fuel and rebates, nothing changes for your personal account. Columbus Charities will receive credit points through your link. It’s free money for the taking.

If you have a current Fred Meyer card, go online and follow the link instructions (flyer provided below). If you do not have a Fred Meyer card, sign up online, or go to Customer Service, then you can link to our Columbus Charities organization.

After you linked to Columbus Charities, that’s it, you’re done. The more that sign up, the greater percentage of the award each quarter.

Our Columbus Charities account is 86675 (see flyer). Enter the number, or enter our name, when searching for an organization to link too.

Worthy Tootsie Rollers,

We had 51 councils that participated and we ranked 2nd in the most raised since inception. Of course, if councils that had participated in the past had contributed, we would have been well over $150,000.

Another interesting point, our cost of fundraising went up to 11 cents on the dollar, compared to 9 cents last year. This number will vary from year to year with some councils ordering more tootsie rolls than they need. More councils are taking advantage of the banner program too, so that makes a difference, however the banners will be good for at least 10 years if taken care of.

I had a very pleasant meeting with Judi Swift, the Fred Meyer representative that approves locations for us. She is encouraging each council to submit a Doorway Activity application form ASAP so she can assure a spot for you. This is very easy to do, so pick up your application at customer service, fill out and send to the Portland home office listed on the form. DO NOT TURN IN TO THE CUSTOMER SERVICE DESK, they have no authority to schedule, only the home office. Worry about staffing later; just get that location and confirmation letter pronto.

Work on other locations now, as well. QFC is a great partner too and is associated with Fred Meyer under the Kroger name. Wal-Mart continues to be a good location. I only name these since they are name brands. You know your local area better than I.

This has been a great year and I thank all of you that participated.

So far, we have 47 councils reporting out of 51. The 4 councils yet to report I have spoken with and we will be over our last year’s total of $105,997 by quite a bit. Stay tuned.

There is a new contact at Fred Meyer. Her name is Judi Swift, however, the application process remains the same. She is very familiar with our program and is ready to accept applications NOW. I applied for 3 locations December 13th, 2015 for Doorway approval in September/October 2016 and received approval letters December 21st, 2015. Don’t wait to apply for Fred Meyer locations.

The process is simple. Get a “Doorway Activity Request” form, fill out and send to the address in Portland, OR that is on the form (don’t turn in at the Customer Service desk). You should have an approval/disapproval letter in three weeks or less. If you do not hear from them in that time frame, you can contact me and we’ll go from there. Worry about staffing later. One person can hold a drive and I can connect you with Special Olympians. 10 am – 5 pm or less works well for me.

Work on other locations now, as well. QFC is a great partner too and is associated with Fred Meyer under the Kroger name. WalMart continues to be a good location too. I only name these since they are name brands. You know your local area better than I.

So far, we have 31 councils reporting out of 56. I know of 4 Councils that are big contributors to the program that have yet to report. With that, I expect our numbers to increase significantly.

Fred Meyer is our best partner so please make sure you report your location totals to their home office in Portland, OR. If you need the address, let me know. You need a total for the weekend, not a daily figure.

It's also a good idea to have a picture taken with the manager and staff of the store, frame and present to management. Our Columbus Charities website would like to have that photo, too.

If you ordered Tootsie Rolls from the Tootsie Roll Company, you need to pay them for product received ASAP. This check needs to be payable to:

Chicago, IL 60693-9435

Yes, it is important to include the File 99435 with the P.O. Box since it is internally required for delivery to the right area in the Tootsie Roll Company. You should have received an invoice around the time when the tootsie rolls were received. The bill is due 30 days AFTER your drive.

So far, we have 14 councils reporting out of 56. Our participating council number went up by two, as I expect will happen more as this drive draws to a close. Some councils do not turn in their Council Chairman form, which is how I know they are participating. Many big hitters have not reported yet, so I know the numbers will go up significantly by this time next month.

3307 Richland, for instance, informed me they raised over $6,100. They have consistently raised that amount each year (except the first) since the beginning of our program raising a total of $28,641 over the last 5 years. Fantastic job Richland.

We already have one council that completed their drive and turned in paperwork. The Council is 4367 Moses Lake. They did not participate last year, but had in the past. What a great job they did!!!

I heard rumors that 12002 Belfair exceeded last year’s total by 500%, and they are not done yet.

We have 54 councils that have turned in Council Chairman forms. I am hearing of great results and hope we break last year’s total of $106,000. Our best year was year two of our program raising $128,800.

If all the councils that have participated in the past would have joined in this year, assuming they would have raised the same amount, we would be well over $150,000 with 85 councils participating.

The councils’ that held Tootsie Roll Drives at Fred Meyer this year, remember to report your totals to the corporate office in Portland, OR. You should have received a form with your approval letter. If you have misplaced it, let me know.

At the end of this month, start reserving locations for next year. Worry about volunteers later. You can always cancel a location, so reserve it very soon.

This is my favorite time of the year and the Tootsie Roll Program makes it even more special.

2015’s Drive is upon us. Some Councils still owe me a Council Chairman form while others need to get involved. There is still time…

It takes 3-4 weeks for the Tootsie Rolls to be delivered. The aprons take the same amount of time. Depending on when your drive is, you still have time. You can move your drive to the end of October, too. That would give you plenty of time. The important thing, get involved.

As of this writing (September 2nd), I have 47 councils participating. Several are new to the program, and that is always good to see, but I would like to see repeat councils from previous years too. If you haven’t participated in a while, I have better connection with Special Olympics and can link you up with local help. The key over and over again is, get involved!! The Knights get no better exposure Statewide than through this program.

Fred Meyer, QFC and WalMart are our best partners, especially, Fred Meyer. Fred Meyer approval can be as quick as one week, but must come from Portland, OR.

We have raised over $420,000 since its inception, with last year being over $106,000. Let’s beat last year’s total.

Tom Williams, Bulletin Editor, is trying to get the Bulletin out as close to the 1st of the month as possible, however, Supreme data takes some time to record so the best he can do is the 4th of the month. That being said, those that have not ordered Tootsie Rolls and/or Aprons have time before their drive in September/October. Tootsie Rolls and Aprons take about 3-4 weeks for delivery.

I still have Tootsie Rolls available for those on the Westside of the mountains at cost, but they are going fast. You will need to arrange pickup in Olympia though. Ihave other connections for Tootsie Roll cases throughout the State, so let me know.

Get involved with this worthy program. Few programs show what the Knights are all about like the Tootsie Roll Program. We have raised over $420,000 and contributed over $369,000 to those with disabilities in just 4 short years. We are now the third largest donor to Special Olympics Washington. If you haven’t been involved with this program, do it. If you have been involved, but stopped for somereason, pick it up again. We have many more resources for success and manning locations than we did two or three years ago, so “Don’t Be Afraid”.

Statewide, 91 cents of every dollar goes to aid the disabled. The rest is for product, aprons and printing which continue to reduce each year. I challenge any organization that raises funds to come close to these numbers. We are a welloiled machine now.

If you haven’t already, fill out the Council Chairman form, get your locations, and worry about the logistics later. Fred Meyer is our best partner, but QFC and Walmart are great too, all you need to do is ask. I can help you find Special Olympians, along with guardians, to man locations. Just do it!!

Remember 80% of the net proceeds can be granted to organizations that deal with the disabled in your area. That is the beauty of the program, keeping funds local for visibility.

Brothers all,

That’s a wrap, all councils have reported. We had 57 councils that actually participated. The total expenses incurred by councils for product, aprons, banners and postage was $10,283.97 which means 91 cents of every dollar you raised went to the disabled. I would like to see any non-profit organization be able to match that.

You almost exceeded last year’s total of $105,400, but your expenses were slightly higher which means there is more available to give. Our highest year is still 2012 when we raised $128,800. If all the councils that have participated in the past would have joined in this year, assuming they would have raised the same amount, we would be well over $150,000 with 85 councils participating. To date, since this program’s initiation four years ago, we have raised $420,000 and given out, or had available to give, 829,000 tootsie rolls.

I am proud of each one of you that participated and we all are better off for having taken on this challenge. I know councils have a lot going on, but this program is relatively easy and gives the Knights exposer to our communities in ways we may never know. It shows our presence in the outer reaches of society, and our compassion for all of God’s creation.

I am looking forward to this year’s drive. Be looking for our program kick off at the Summer Leadership Meeting in July.

Remember to secure those locations NOW!!! You can find help later or cancel if you need too. It is much easier to cancel than to secure a location. Fred Meyer is accepting our requests for solicitation now. Get it done before it’s too late.
